How KITEBED handles the information your team brings into the workspace - written to be read, not to hide behind.
01Who we are
KITEBED is a project management and team collaboration service. This policy explains what information the service handles when you and your team use it, and the choices you have over that information.
02Information we handle
The service works with a few clear categories of information:
- Account information - the name, work email and workspace details you provide when you sign up or contact us.
- Workspace content - the boards, tasks, custom fields, comments and documents your team creates while using KITEBED.
- Meeting content - transcripts or written check-ins you submit for summarization, processed to produce a digest.
- Usage signals - the activity on your board, such as time-in-stage and comment activity, that the triage and workload features rely on to work.
03How we use it
We use workspace content and usage signals to run the features you turned on - detecting blocked tasks, suggesting priorities, balancing workload and summarizing meetings. We use account information to provide the service, respond to your requests and send the account and login details tied to your sign-up.
We do not sell your workspace content, and we do not use it to build advertising profiles.
04AI processing
The triage, prioritization, workload-balancing and summarization features process your workspace and meeting content to produce their suggestions and digests. These features surface suggestions with their reasoning attached and, where a suggestion would move a person's work, keep a human in the approval loop. Content is processed to serve your workspace, not to train systems for unrelated purposes.
05Email and communications
When you sign up or contact us, we send transactional email - such as your login details, replies to inquiries and important service notices - through a third-party email delivery provider acting on our behalf. These messages are tied to the request you made.
06Retention and deletion
Workspace content is retained for as long as your account is active, on the retention schedule your workspace configures. Meeting transcripts submitted for summarization are kept only as long as needed to produce and serve the digest within your workspace. When you close an account, we delete associated content on request, subject to any legal record-keeping we're required to maintain.
07Security
We encrypt data in transit over TLS and encrypt stored workspace data at rest. Access to production data is limited on a least-privilege basis, and access is separated by role within your workspace. You can read more on the security page.
08Your choices
Admins can manage members, access and retention settings for their workspace. You can request a copy or deletion of the personal information tied to your account by contacting us. If you're a member of a workspace created by your employer or client, some requests may need to go through that workspace's admin.
09Changes to this policy
If we make a material change to how we handle information, we'll make the updated policy available here and, where appropriate, notify workspace admins so they can inform their teams.
